Financial statements are only as good as the system producing them. Most small businesses outgrow their initial setup within two or three years and never rebuild it. We design, optimize, and maintain the financial infrastructure underneath your business so everything downstream actually works.

Why the infrastructure is the work.

Most business owners meet their accountant at tax time, when the system has already been running for a year. By then, every problem in the setup has compounded into the financial statements. A misconfigured chart of accounts creates reporting that cannot distinguish product lines. A bank feed integration that stopped syncing creates reconciliation work that takes twenty hours instead of two. A payroll system that was not set up to track job cost creates labor reports that give no useful information.

None of this is fixable in April. It has to be fixed in the infrastructure, before the numbers come through. We build and maintain that infrastructure so the work downstream is actually useful.

What we actually do.

Platform implementation. QuickBooks Online, Xero, and NetSuite selection, implementation, and optimization. We pick based on client size and industry, not vendor preference. A five-person agency does not need NetSuite, and a multi-entity operator should not be on QuickBooks.

Chart of accounts design. Specifically for your business type and the reporting you actually need. Product lines, service categories, location splits, job cost tracking. Built to produce the reports that matter, not the generic defaults.

Bank and credit card integration. Proper feeds with categorization rules that hold up over time. Reconciliation that takes minutes, not days. Alerts for stale feeds before they break the close.

AP and AR workflow setup. Approval flows, vendor onboarding, payment cadence, invoice templating, collection cycles. The small operational pieces that determine whether the month ends cleanly.

Payroll platform setup and integration. Gusto, Rippling, or ADP, configured for job cost, multi-state employees, benefits integration, and retirement contributions. We advise on the right platform and we configure the setup. We do not run payroll. The actual processing happens in the platform.

Spend management. Ramp, Brex, or Expensify. Receipt capture, card controls, integration back to the GL. Removing the manual data entry that produces errors.

Billing and invoicing workflow design. Recurring invoices, usage-based billing, subscription management, integration to payment processors, and the revenue recognition logic that makes the accounting side work.

Reporting dashboards. Monthly management reports that match how the business actually runs. KPIs tied to the operating model, not the accounting chart. Delivered on a schedule the team can rely on.

Document management and integrations. Receipt capture, document storage, and connections between your accounting system, CRM, banking, and operational tools. The stack becomes one system, not four systems that look at each other.

Why this is more than IT.

This work is often treated as administrative. It is not. Chart of accounts design is an accounting decision. Workflow configuration is an operations decision. Tool selection is a strategic decision. The people who do this well understand accounting, tax, and how a business actually runs. That combination is rare, and it is what makes the difference between a setup that works and a setup that has to be rebuilt in three years.

How we work.

We start with an assessment: what you have, what is working, what is not, and what the business actually needs from the finance stack. From there we scope a plan, agree on timeline and price, and implement. We train the internal team or external bookkeeper on the setup so the infrastructure does not quietly drift back to where it was. After implementation, some clients keep us on retainer for ongoing oversight. Others run on their own until the next inflection point.

Infrastructure is the layer most firms ignore until the statements break. We build it first, so the statements do not.
